Mission statement
Jackdaw recognises that AI is now part of how we work – and that using it well means being clear about what it does, what it doesn’t do, and who stays responsible for the result.
We are committed to using AI transparently, safely, and with a human making every final decision. This applies to our own business and to the work we do for clients.
We will encourage clients, contractors and other stakeholders to hold the same standard.
Policy aims
We endeavour to:
- Keep a human reviewing and approving anything AI touches before it reaches a client or goes public.
- Be clear with clients about where and how AI is used in their work.
- Handle data – ours and our clients’ – with care, and only use tools we’ve thought through.
- Choose AI tools on their merits, and drop them if they stop earning that trust.
- Review this policy regularly as the technology, and the regulation around it, keeps moving.
Policy priorities
1. Human oversight
AI drafts, suggests, and speeds things up. It doesn’t decide, approve, or publish. Every piece of AI-assisted work – content, strategy, admin – is reviewed by a person before it goes anywhere. That review step isn’t a formality, it’s essential.
2. Data handling and privacy
We only put client data into AI tools where it’s necessary for the work, and only into tools we’ve assessed for how they handle that data.
We don’t feed confidential client material into tools or settings that use it to train third-party models, unless a client has specifically agreed to that. Client data is kept only as long as the work requires it.
3. Tool selection
We choose AI tools for what they can demonstrably do, not for how loudly they’re marketed. If a tool doesn’t earn its place – on capability, on privacy, on cost – it gets dropped.
Specific (current) tools include: Claude, Perplexity, otter.ai, Fathom and Canva AI.
4. Transparency with clients
Clients know where AI is involved in their work. This isn’t a footnote – it’s part of how we scope and price engagements.
If AI drafts something, a human at Jackdaw has read it, checked it, and stands behind it before the client ever sees it.
5. Ongoing review
AI and the regulation around it are both moving quickly. We review this policy at least annually, and sooner if something material changes – a new tool, a new law, or something we’ve learned the hard way.
Our approach to AI governance
We don’t have a separate AI department or a compliance team – as Founder of Jackdaw I make sure any external freelancers or consultants follow this guidance. The systems that make that possible – voice profiles, review steps, content pipelines – exist so that AI speeds up the work we’re doing without taking the discernment (or the human) out of it.
We’ll keep refining this as the business, and the technology, both grow.
We will update this policy at least 3 monthly in consultation with other stakeholders where necessary.
